HR ASSISTANT

We are seeking to appoint a HR Assistant to join our team and make a positive impact in a growing and progressive CRO. You will be joining a company that put the needs and wellbeing of their people first, who are inclusive and who deliver exceptional service – together.

This role is a remote role, with business travel to MAC sites as required.


FOCUS OF THE JOB:

  • Provide Human Resources administrative support to the organisation.

KEY SKILLS, KNOWLEDGE AND QUALIFICATIONS REQUIRED:

  • Minimum 1 year experience in the field of HR

  • CIPD level 3 and above (desirable but not essential)

  • Excellent oral and written communication skills

  • Ability to manage and maintain spreadsheets, and proficient in other common applications

  • Excellent organisational skills

  • Excellent attention to detail

  • Self -motivated and able to work independently

  • Excellent team working skills

  • Demonstrate maturity and excellent inter-personal skills

RESPONSIBILITIES:

  • Maintain employee data spreadsheets and systems

  • Manage monthly payroll submission

  • To scribe, and support the HR Manager and Head of HR with Line Managers during formal meetings, where required

  • Administer HR-related documentation, such as contracts of employments and letters to employees as required; following up to ensure all paperwork is received back in a timely manner.

  • Manage the central HR inbox and respond to queries as required.

  • Manage all regulatory and legislative compliance checks for all new employees.

  • Maintain high levels of confidentiality and sensitivity in dealing with all issues especially when handling sensitive situations and information.

  • Contribute to the creation of solutions to improve and standardise the HR service by identifying and recommending opportunities for improvement.

  • Contribute to developing employee satisfaction and retention schemes.

Planning, Organising and Administration:

  • Reporting and updating relevant issues to the Head of HR

  • Monitor own workload to meet priorities.

  • Administration tasks associated with the employee central induction process.

  • Assist other members of the team as and when required, with administration related tasks in delivering HR services.

Commercial Awareness and Contribution to Targets:

  • To be proactive in implementing company strategy regarding Human Resources.

  • To present a positive view of MAC to external stakeholders and customers.

Working as a Team:

  • Liaise effectively and positively with Site Directors and other senior managers.

  • Support the Recruitment team with administration tasks where required

  • Work with HR Manager and Head of HR on various HR projects and activities and support where required.

Communication:

  • Participate in meetings with colleagues and customers where appropriate.

  • Deal with telephone and email enquiries/communications effectively.

Confidentiality

  • Understand requirements for patient and commercial confidentiality.

General:

  • Compliance with MAC health and Safety policy

  • Compliance with MAC policy on equality and diversity

  • To maintain professional qualifications required for the role, including continuous personal development

  • To work to the requirements of SI 2004 no 1031 and amendments thereof, which includes Good Clinical Practice

  • To work according to MAC SOPs, guidelines and policies

  • To work according to current data protection standards and practice good information management. Maintenance of strict confidentiality of employee, patient and business related data.

  • To maintain a high level of initiative and personal responsibility, liaising appropriately with team members and managers to ensure your job role is efficiently carried out

  • To support the aims of MAC and to represent MAC appropriately in a professional way to all our customers

PHYSICAL, WORK ENVIRONMENT, TRAVEL DEMANDS: Willingness to travel between sites and to participate in inter-site meetings.
